What this website collects, and why.

This notice covers the public website at chaptree.co.uk. The Clerk Assist system that councils sign in to is covered by each council’s own agreement, which sets out how that council’s data is held and processed.

Who we are

Clerk Assist is a product of CAAR DAMASK LIMITED, which is the data controller for anything you send through this website. Contact: [email protected].

What we collect

The waiting-list form asks for your name, your role, the council, an approximate precept band, your email address and anything you choose to add in the note. We use it to write to you when a place opens and to size the work of bringing the council on.

The locum cover and council support enquiry forms ask for your name, your role, the council, your email address, a phone number if you give one, a description of what has happened or what the council needs, any dates, and — on the locum form — what the council still has access to. We use it to reply, to say quickly whether we can help, and to prepare a written scope.

Pages you read. The server keeps a plain log of each page request: the page, the time, your internet (IP) address and the browser you used. Requests from search engines and other automated visitors are left out. We use the log to keep the site secure and to see which pages are read. It is not combined with the forms and is not used to identify or profile anyone.

The website sets no cookies of its own and uses no analytics or advertising services. See the cookies page.

Why we are allowed to

For the forms, the lawful basis is that you have asked us to take steps at your request — to reply, to hold a place, or to prepare a quotation. For the page-view log, it is our legitimate interest in running a secure website, which does not override your interests given how little it holds and how it is used.

How long we keep it

  • Enquiry form details: while the enquiry is being dealt with, and for twelve months after the last contact about it, unless it becomes an engagement — then for as long as that council’s agreement says.
  • Waiting-list details: until a place is offered and either taken up or declined, or until you ask to be removed.
  • Page-view log: twelve months.
  • Copies of emails we send and receive about an enquiry: as above for that enquiry.

Who sees it

The people at Clerk Assist dealing with your enquiry, and the companies that provide the services the website runs on: web hosting in the United Kingdom, the security and performance layer in front of the site, and the email service that carries our messages, which is in the European Union. Each acts on our instructions. Hosting and email hold data in the UK and the EU; the security layer runs a worldwide network under its own published data-protection terms. We do not sell or rent any of it, and we do not share it with anyone else unless the law requires it.

Your rights

You can ask for a copy of what we hold about you, ask us to correct or delete it, ask us to restrict how we use it, or object to our using it. Email [email protected] and we will deal with it within a month. If you are not satisfied, you can complain to the Information Commissioner’s Office at ico.org.uk.

Changes

If we add anything that collects more — analytics, say — this notice and the cookies page will be updated first, and the date below will change.
